A company can move desks in one day, but its registered address does not change because a new lease or service invoice exists. Until the commercial register is updated, clients, authorities and procedural notices still rely on the old public record. The filing is usually short; the avoidable delay comes from discovering too late that the move also changes the municipality stated in the articles of association.
In my 15+ years in Estonian accounting, I have found that the cleanest way to handle the move is to test the municipality first and only then prepare the application. The RIK guide to changing address and contact details sets out the portal steps, documents and fee logic. The Commercial Register Act, current consolidated text requires an amendment petition to be submitted immediately when registered data change. This guide turns those rules into one practical filing sequence.
First decide whether the city or rural municipality changes
The street, building or service provider is not the decisive question. Look at the registered office in the articles of association, which is normally stated at city or rural-municipality level. A move from one Tallinn address to another remains within the same municipality. A move from Tallinn to Viimsi changes it.
RIK treats the two cases differently. Within the same municipality, update the legal address in the Contacts section; no amended articles or underlying decision are needed and no state fee applies. When the municipality changes, the registered office in the articles must change as well, so the application needs the new articles, the competent-body decision and a state fee.

File the amendment in the e-Business Register
Log in with an accepted Estonian authentication method, open My Dashboard and select the company. If it is not displayed but you have authority to act, use the legal-person search and confirm your right to amend the data. Choose Change data and open the Contacts section.
Prepare the exact address before starting. It should match the official address-data system down to the building or relevant part of the building. If the company e-mail changes at the same time, the new mailbox receives a confirmation link; the filing should not be left waiting for that step.
- Open the company and start the change-entry application.
- Replace the legal address in the Contacts section and review the e-mail address.
- If the municipality changes, upload the amended articles in PDF format.
- Attach the shareholders' or other competent-body decision when the articles change.
- Review representation rights and obtain the required digital signature.
- Pay any fee displayed by the portal and submit the application.
If the private limited company has no special joint-representation rule, RIK says that at least one management-board member can digitally sign the application. Where the registry card requires joint representation, follow that rule instead of assuming one signature is enough.
Attach only the decision the register actually needs
A move within the same municipality should not be turned into an unnecessary articles-of-association project. For a move outside the municipality, prepare a clean amended version and a decision that clearly approves the new registered office and the articles. The document date, company name and registry code should agree with the application.
Documents filed with the e-Business Register are public. RIK expressly allows an extract from minutes containing only the decision on which the application is based. Do not upload a full meeting pack containing commercial discussions, personal notes or attachments that the registrar does not need.

After the entry, synchronise the address used in daily business
RIK notes that processing usually takes one to five working days, depending on the application. Do not announce the register change as completed merely because the petition was signed. Save the submission confirmation, monitor the case and download a current registry card after the new entry appears.
Then update the operational copies of the address: invoice and contract templates, website and e-mail signatures, bank and payment-provider profiles, insurance, licences, major customer and supplier records, and the postal forwarding arrangement. Check each important portal rather than assuming that every service consumes registry data automatically.
Keep the old-to-new address cutover date with the filing evidence. It gives the accountant and operations team one reference point when a document, bill or official letter still arrives with the old details.
The most common waste is preparing a resolution before checking the municipality. I compare the old and new city or rural municipality first. That one comparison tells us whether the job is a simple contact-data amendment or an articles-of-association change.
